01. Definition of an Event
An event is a scheduled public or semi-public activity taking place within the Waterberg region that is intended to attract an audience, promote participation, or generate local economic, social, cultural, or tourism value.
An event must meet at least three of the following criteria:
- Is open to the public (free or ticketed)
- Is hosted at a physical venue or location in the Waterberg
- Is hosted by a person, business or organization based in the Waterberg
- Has a defined date, time, and purpose
- Promotes community engagement, tourism, arts, sports, culture, business or nature-based experiences
- Is actively promoted via posters, social media or official invitations
The following are not considered events:
- Ongoing services (e.g., a permanent spa, daily safari drives without a unique occasion)
- Special offers or promotions not tied to a specific date or gathering
- Private functions with no public visibility or intent (e.g., weddings, internal staff parties)
02. Eligibility to Submit
Any individual, business, or organization may submit an event for listing on the Waterberg Tourism Events Platform.
Events must take place within the Waterberg District or be of direct relevance to the Waterberg community.
03. Listing Types
- Free Listings include limited information: Event Name, Town, Event Type, and Event Date.
- Paid Listings (Full Profiles) include but is not limited to detailed descriptions, images, venue details, contact information, external links, added functionality like ticketing as well as promotional visibility across Waterberg Tourism channels.
04. Approval Process
- All submitted listings are subject to moderation by Waterberg Tourism before being published.
- Waterberg Tourism reserves the right to approve, edit, or reject any listing for any reason, including but not limited to content that is incomplete, inappropriate, misleading, or irrelevant.
05. Image & Content Use
- By submitting an event and uploading images or promotional material, you grant Waterberg Tourism permission to use, adapt, and distribute the content on its platforms for promotional purposes.
- It is your responsibility to ensure that you have the right to share and publish any images, logos, or branding submitted.
06. Accuracy & Updates
- Event organizers are responsible for the accuracy of the information submitted.
- Organizers must notify Waterberg Tourism of any changes or cancellations as soon as possible.
- Waterberg Tourism will not be held liable for outdated, incorrect, or incomplete information submitted by third parties.
07. Marketing & Promotion
- Paid Listings may be featured in Waterberg Tourism newsletters, social media, or other promotional campaigns at the discretion of the platform team or as per their chosen plan.
- Additional marketing services (event posters, invitation design, reply tracking, reviews, etc.) may be available upon request at an additional cost.
08. Conduct & Safety
- Waterberg Tourism reserves the right to delist events that promote unsafe, discriminatory, or illegal practices.
09. Refund Policy
- Event listing fees are non-refundable once a listing is approved and published.
- Exceptions may be made in the case of a technical error or duplicate payment, subject to review.
10. Limitation of Liability
- Waterberg Tourism provides the listing platform as a promotional tool and makes no guarantees regarding event attendance, success, or revenue.
- Waterberg Tourism is not responsible for technical errors, server downtime, or external factors impacting the visibility of the listing.
